Privacy Policy
This policy explains what personal information Jay Ess Unity India Private Limited collects, why we collect it, who we share it with, and what you can ask us to do with it.
LAST UPDATED — [ADD DATE]Before publishing: this is a working draft prepared for a field-verification business. Have it reviewed by your legal adviser against your actual data flows and client contracts, fill in every [ADD ...] field, and remove this box.
Who this policy covers
Jay Ess Unity India Private Limited ("Jay Ess Unity", "we", "us") is a company incorporated in India with its registered office at No 3 & 4, 1st Floor, Outer Ring Road, Behind RC Church, Hosur, Krishnagiri, Tamil Nadu 635109.
This policy applies to:
- visitors to this website and anyone who submits our enquiry form;
- representatives of banks, housing finance companies, NBFCs and other institutions who engage us;
- loan applicants, their references, employers and other individuals whose details reach us because a client has asked us to carry out a verification;
- people who apply to us for employment.
Our role in handling data
Most of the personal information we handle does not originate with us. A lending institution sends us a verification instruction, and we act on that instruction. For that information we act as a service provider processing data on our client's behalf and under their instructions — not for our own purposes.
Where an individual deals with us directly — a website enquiry, a job application, a supplier relationship — we determine the purpose ourselves and are responsible for that information in our own right.
If you are a loan applicant and you want to know why your details were sent to us, or you want them corrected or erased, the institution you applied to is normally the right first point of contact, because they hold the underlying relationship. You can still write to us and we will help you reach the right party.
Information we collect
From website visitors
- Name, company, designation, work email and phone number when you submit the enquiry form.
- What you tell us in the message field, such as service locations and expected case volumes.
- Basic technical information your browser sends — IP address, browser type, referring page, pages viewed.
From clients, for verification assignments
- Applicant name, contact details and the addresses to be verified.
- Employment, business, income and reference details supplied with the application.
- Identity, address and other documents supplied for validation.
- Property details where a site visit is required.
Generated by us during a verification
- Field observations recorded against the parameters our client has set.
- Photographs taken during a visit, with location and time metadata.
- Call logs — who was called, when, who answered and what was said.
- The verification report and the internal review record for it.
From job applicants
- CV, contact details, employment and education history, and anything else you choose to send us.
We do not knowingly seek out sensitive personal data such as health information, biometric data, caste, religion or political affiliation, and our field executives are instructed not to record it.
How we use information
- To carry out the verification, investigation and reporting services our clients instruct us to perform.
- To allocate cases, plan field visits and monitor turnaround against agreed service levels.
- To carry out internal quality review before a report is released.
- To maintain our office library, so that employer premises already verified do not have to be visited again for every applicant. Photographs reused from the library are always labelled as reused.
- To respond to enquiries and manage our commercial relationships.
- To assess job applications.
- To meet legal, regulatory, audit and contractual obligations, and to establish or defend legal claims.
We do not sell personal information. We do not use verification data to build marketing profiles, and we do not use it for any purpose our client has not instructed.
Lawful basis and consent
Where we process information on a client's instruction, the client is responsible for obtaining the consent or other lawful basis required from the individual concerned, normally as part of the loan application. Our engagement contracts require this.
Where you contact us directly, we process your information on the basis of your submission and our legitimate interest in responding to you. You can withdraw at any time by writing to us.
We handle personal data in line with applicable Indian law, including the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 together with the rules made under it, as those apply to our activities.
How long we keep it
Verification records are retained for the period set out in the relevant client agreement, and then deleted or returned to the client. Where no period is specified, we keep records for as long as we need them for the purpose collected, plus any period required for legal, audit or regulatory reasons.
Enquiry-form submissions are retained for [ADD PERIOD]. Unsuccessful job applications are retained for [ADD PERIOD] unless you ask us to remove them sooner.
How we protect it
We apply organisational and technical measures appropriate to the sensitivity of the data we hold, including role-based access control, controlled communication channels, confidentiality obligations on our staff and field executives, training on handling customer information, and review of records before release.
No method of transmission or storage is completely secure. If a personal data breach occurs that is likely to affect you, we will notify the affected client and the relevant authority as required, and take reasonable steps to limit the impact.
Your rights
Subject to applicable law and to our obligations to our clients, you may ask us to:
- confirm whether we hold information about you, and give you access to it;
- correct information that is inaccurate, incomplete or out of date;
- erase information where there is no continuing lawful reason for us to hold it;
- tell you who your information has been shared with;
- nominate someone to exercise these rights if you are unable to.
Where the information reached us on a client's instruction, we will normally need to refer your request to that client, since they hold the underlying relationship and decide what happens to the record. We will tell you when we do this.
We may ask for proof of identity before acting, and we may decline a request where the law allows or requires us to. We will explain why.
Children
Our services are directed at financial institutions, not at individuals, and this website is not intended for children. We do not knowingly collect information from a child. If you believe we have, write to us and we will delete it.
Changes to this policy
We may update this policy as our services, systems or legal obligations change. The current version is always the one published here, with the date shown at the top of the page. Where a change materially affects how we handle your information, we will take reasonable steps to tell you.
Grievance officer
If you have a question or a complaint about how we handle personal information, contact our grievance officer. We will acknowledge your request and respond within the period required by applicable law.
